Evidence Finder

What does it do?

The Evidence Finder extracts relevant project examples from your company’s past submission and case study documents, provides structured evidence including project details, roles, actions, metrics, outcomes, and lessons learned. The tool then integrates this evidence into your existing response text, highlighting new additions, and identifies any evidence gaps that still need addressing.

When would I use it?

Run this tool during the response writing phase when looking to strengthen draft tender responses with concrete project examples, find evidence that supports particular claims, add quantifiable metrics and ensure all supporting evidence is properly cited. It helps to validate your response assertions and enhance credibility within your draft responses.

How to use it

  1. Select your collections that will most likely provide evidence – Provide project documentation, case studies, previous submissions, and reference materials containing your project examples
  2. Upload your draft response – Upload the existing response text that needs evidence support (optional if searching for specific topics)
  3. Specify the tender question – Include the question text and assessment criteria to understand evaluation priorities
  4. The tool will:
    • Analyse the provided documents for relevant prior projects
    • Integrate these projects into your draft, giving quantifiable evidence to strengthen your case
    • Highlight any gaps within your draft that require additional evidence

Top Tips for best results

  • Provide comprehensive source material: Include project reports, case studies, client testimonials, and previous successful submissions to maximise available evidence
  • Upload substantial draft content: The more developed your initial response, the more precisely the tool can identify claims that need substantiation
  • Be specific about evidence needs: If searching for particular types of evidence (cost savings, delivery timeframes, innovation examples), specify this clearly
  • Review highlighted integrations carefully: Always verify the accuracy of integrated evidence and ensure it genuinely supports the claims being made
  • Use structured project documentation: Well-organised source documents with clear project details, metrics, and outcomes yield better evidence extraction
  • Address evidence gaps proactively: Use the gaps identification to seek additional evidence or adjust claims in your response
  • Maintain consistent language: Ensure the integrated evidence matches your company’s tone and language style requirements
  • Cross-reference with assessment criteria: Focus on evidence that directly addresses the tender’s evaluation priorities and scoring criteria
